SCHEDULING
ACTIVITIES
ON
UNIVERSITY CALENDARS
To avoid conflicts between events and to encourage attendance
at worthwhile activities, The University of West Alabama policy requires that no
two events (social, athletic, cultural, religious, etc.), open to all students, or to a major segment of the student body, may be scheduled at the same
time in conflict with each other. This policy applies to all such events held on
the campus or within the local area (easy commuting distance), whether sponsored
by student organizations, academic departments, administrative offices, the
athletic department, or any other campus group, and it also applies to events on
campus sponsored by non-University groups.
All campus events and all other University-related events
must be cleared on the official University calendar, which is kept in the
Student Activities Office, SUB 203. A person who wishes to schedule an event
should first call this office (652-3624) to determine if the proposed date
and time are free. If so, he/she should print out a "University of West Alabama Social Calendar Activity/Event Request
Form" from the following website:

The form must be
completed and returned to the Student Activities Office. In some instances, the
form must have the approval of the person who is in charge of the specific
facility to be used (listed above) before the request will be accepted and
approved by the Director of Student Activities.
Areas around residence
halls and campus apartments are only available for UWA Housing sponsored
events. Exceptions to this policy must be requested through the
Director of Student Life and Housing at least 10 days prior to the
event. Requests for exceptions must be received prior to
scheduling the event with the Student Activities Office.
Exceptions will only be made if all of the following conditions apply:

The
event is open to all residents in the residential area
requested

The Director of Student Life
and Housing believes the event will be of interest to a
majority of the residents in the residential area
requested

The
event will begin after 8:00 a.m.

The
event will end before 8:00 p.m.
Scheduling on the official University calendar is on a
"first come" basis, but in the case of potential conflicts, those
involved are encouraged to confer and work out arrangements which are mutually
acceptable whenever possible. Events which are not cleared on the University
calendar will not be held, regardless of any prior planning which may have been
done for them. Exceptions to this policy can be approved only by the President
of the University.
